Job Description

Provides accounting support to the DWS Management Company.Completes special projects as needed.Maintains a high degree of professionalism and confidentiality at all times.

Essential Duties & Responsibilities include the following.Other duties may be assigned.

Completes all work in an accurate, thorough and timely manner demonstrating a sound understanding of area of responsibility.Maintains a high degree of confidentiality in the performance of all duties.

Accounting and General Responsibilities:

  • Prepare journal entries and post cash transactions to general ledgers for all electronic funds transfers.Scan and file supporting documents in appropriate server location(s).

  • Code and obtain approvals for payment of invoices and other requests for funds through QuickBooks. Print checks, obtain signatures on checks, and mail to vendors.File original documents in banking files.

  • Prepare and coordinate investment capital calls to meet the capital call deadlines.Includes obtaining signatures and setting up Standing Letters of Authorization for on-going capital commitments and coordinating internal authorizations for new investments.

  • Record Shorenstein entity ACH capital calls and distributions, ensuring sufficient cash is available for capital call automatic debits.

  • Maintain accurate records of investment capital calls, distributions, journals/wire transfers and Standing Letters of Authorization.

  • Reconcile annual tax basis and book basis investment accounts (approximately 185) for external investments, ensuring all K-1 activity is properly recorded.Post annual increases and decreases to capital account balances and ensure general ledger balances are in alignment with K-1 capital account balances.

  • Provide first line of communication with banking personnel regarding cash transfers and upcoming cash needs.

  • Prepare and track all property taxes on Shorenstein family real estate properties and maintain records regarding assessments and payments. Record appropriate journal entries.

  • At the direction of the VP, Tax, prepare all quarterly estimated tax payments and record appropriate journal entries.† Set up EFT banking processes and administer EFT tax payments.† Track and report on all estimated tax payments ensuring receipt by tax authorities. †Follow up on exceptions as necessary.

  • Assist in and/or prepares tax work packages to deliver to external tax advisors performing all tasks in an accurate and timely manner.

  • Perform month end bank account reconciliations and prepare close packages by the 15th of the month and other assigned account reconciliations as requested in an accurate and timely manner and in line with established close process.

  • Adhere to all internal control policies and procedures.Identify any deviations and propose solutions.

  • Maintain detailed accounts and records for art investments.This includes pictures, cost basis, location of the artwork and up-to-date insurance.

  • Prepare, compose, process, monitor, and distribute (invoices, billings, reports, logs, information, documents, routine or complex correspondence) accurately within established timeframes, ensuring completeness and seeing processes through to completion.

  • Gather, enter and consolidate data for financial and ad hoc reporting, completing all tasks in an accurate and timely manner.

  • Maintain accurate, complete and current files and records ensuring the appropriate safeguarding of confidential or proprietary information.

  • Demonstrate and exercise sound judgment in prioritizing work and execution of all duties and tasks to ensure timely and accurate completion.

  • Act independently to determine efficient and effective methods and procedures on new assignments.

  • Promptly respond to inquiries from internal clients and external contacts and follow through to ensure resolution in a prompt and professional manner.

  • Perform responsibilities related to ad hoc special projects in a high quality and timely manner.

  • Handle details of a highly confidential and critical nature according to company policies and procedures.††

  • Maintain excellent working relationships with external and internal contacts demonstrating professionalism, courtesy and respect at all times.External contacts may include law offices, investment firms, accounting firms and other professional service organizations.Internal contacts may include executives and other staff.

Job Requirements

Essential Skills & Qualifications:

  • Thorough knowledge of office procedures and practices as evidenced by 5 years of experience in a related function. Knowledge and experience to include:

    • Managing an inventory of owned items.

    • Reviewing and interpreting insurance policy documents and requirements.

  • Strong working knowledge of double entry accounting and balance sheet and income statement account relationships as evidenced by 5 years of experience in a related function.Knowledge and experience to include:

    • Cash basis accounting.

    • General Ledger, Accounts Receivable and/or Accounts Payable

    • Working with bankers to facilitate cash management, wire transfers and other cash related activities, and the ability to effectively resolve investment or other cash needs.

    • Performing routine analysis of numbers and financial data.

    • Proficiency with QuickBooks (Enterprise) or other automated accounting software is highly desirable.

  • Working knowledge of tax preparation and reporting is highly desirable.

  • Demonstrated ability to communicate effectively both orally and in writing both internally and externally including staff, auditors, bankers, investors, etc.

  • Demonstrated ability to read and interpret routine and non-routine documents.

  • Demonstrated ability to find, access, evaluate and use information.

  • Demonstrated ability to compose routine and non-routine correspondence.

  • Demonstrated ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form and refer to established procedures to handle routine tasks, although at times may choose from established alternatives.

  • Demonstrated ability to deal with problems that balance multiple needs and either solve or propose solutions with limited guidance.

Non-Essential Skills & Qualifications:

  • Experience working with family office and/or high net worth individuals and/or the investment community is highly desirable.


  • Associateís degree (A.A.) from a two-year college or technical school required. Bachelorís degree is strongly preferred.

  • Minimum of 5 years of accounting, transactions, and processing experience in a corporate or professional office environment required.
