Job Description

Manages construction projects to meet goals for cost, schedule, and quality.  Acts as the primary company representative with the client, architect, construction managers, and general contractors. 

Essential Duties & Responsibilities include the following.  Other duties may be assigned.

  • Prepares estimates for leasing representatives to support leasing assumptions and landlord's work.
  • Prepares estimates for capital projects.
  • Prepares RFP's for architects, consultants, expediters, etc.
  • Responsible for the preparation of bid packages and management of pre-bid walk throughs with contractors to review any and all issues pertaining to the project.
  • Monitors construction to ensure project is built on schedule and within budget.  Investigates potentially serious situations and implements corrective measures.
  • Opens and reviews bids and prepares bid analysis and recommendations.
  • Coordinates drawing review and responses between building staff, consultants and tenants.
  • Oversees work in progress and conducts regular project meetings; also investigates and resolves all problems that arise on the project to keep it on schedule.
  • With advice from legal counsel, prepares initial contracts with contractors and suppliers; creates the job schedule.
  • Reviews the cost, schedule, interim budgets, quality of work, and initiates changes as required.
  • Prepares and reviews reports on progress billings, schedules, statements, reference logs and related information.
  • Prepares, reviews, and submits periodic funding and disbursement requests to accounting.
  • Prepares and releases all documents required for the job, including change orders, correspondence with interested parties, contract revisions, insurance and legal matters, etc.
  • Responsible for timely project closeout and transferring project file to the building office.
  • Monitors and ensures adherence to company policies & procedures, including the collection of fees.
  • Provide excellent customer service to both external and internal customers by:
    • Building positive relationships with customers
    • Taking initiative to identify customer needs and provide service that meets or exceeds customer expectations  
    • Communicating effectively in person as well as via telephone and email.
    • Resolving difficult situations through the use of effective problem-solving skills

Supervisory Responsibilities

  • Supervises the Project Assistant, Construction.
  • Demonstrate effective management, leadership, coaching and development of staff to achieve company and department goals and objectives including but not limited to:
    • Ensure annual goals and objectives are established for all staff within designated timeframes.
    • Ensure job responsibilities and expectations are clearly defined and communicated, work is assigned and distributed appropriately, staff is appropriately trained, and performance issues are addressed in a timely manner.
    • Conduct regular staff meetings.
    • Regularly provide formal and informal performance feedback to staff including discussions of strengths and areas for improvement.
    • Complete well thought out and well-documented annual performance reviews and salary recommendations within designated timeframes.
    • Demonstrates actions and communications that support the company’s Equal Employment Opportunity and Affirmative Action Programs in all aspects of employment.
  • Ensure staff provides excellent customer service to both external and internal customers by:
    • Regularly communicating with staff about the business group’s customers and their needs and expectations.
    • Setting and enforcing customer service standards.
    • Providing coaching, feedback and recognition to enhance staff members’ customer service skills
    • Acting as a role model when providing customer service. 

 
Job Requirements

Essential Skills & Qualifications: 

  • Thorough knowledge of the project management process and tools used for project management.
  • Strong working knowledge of accounting principles and practices for project management including budget and financial statement analysis and forecasting and construction accounting.
  • Demonstrated ability to manage large and multiple projects and priorities to conclusion within designated timeframes and budget.
  • Ability to view every action and decision in terms of client impact and to understand and anticipate client needs.
  • Demonstrated ability to find, access, evaluate and use information.
  • Ability to define problems, to collect data, establish facts, and draw valid conclusions.  Ability to interpret an extensive variety of technical instructions and deal with several abstract and concrete variables.
  • Ability to effectively resolve problems and negotiate solutions that balance the needs of multiple parties (e.g. company, contractors, etc).
  • Strong oral and written communication skills.  Ability to read, to analyze, and interpret routine and non-routine documents, e.g. contracts and other legal documents.  Ability to respond effectively to sensitive inquiries or complaints.  Ability to effectively share information to keep others informed.
  • Ability to direct and coordinate the work of staff in a matrix environment.
  • Ability to respond to changing and sometimes ambiguous situations.
  • Demonstrates sound and accurate judgment.
  • Intermediate proficiency in MS Word and Excel and property management system applications and similar programs used by all Shorenstein property management offices.

Education/Experience:

  • Bachelor’s degree from four year college or university preferred but not required.
  • Minimum four years direct experience as Project Manager for commercial office building construction projects of similar size and scope.
  • Yardi experience desirable.

Certificates, Licenses, Registrations:

  • Engineering certification preferred.
  • LEED AP designation preferred.
